1. Who we are

Roomee is an online platform operated by Roomee Pty Ltd (ACN 656 887 624), a company registered in Victoria, Australia ("Roomee", "we", "us", or "our"). We connect people looking for rental accommodation with those who have rooms available to rent.

Our contact email is support@roomee.com.au. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use the Roomee platform at roomee.com.au (the "Platform").

2. Information we collect

We collect personal information that you provide directly to us, including:

• Account information — your name, email address, and password when you register
• Profile information — profile photo, phone number (optional), and any details you add to your listing or seeker profile
• Listing information — property address, room details, photos, and pricing you submit when creating a listing
• Communications — messages you send to other users through the Platform's messaging system
• Google sign-in — if you register via Google, we receive your name and email address from Google

We also automatically collect certain technical information when you use the Platform:

• IP address, browser type and version, operating system
• Pages visited, time spent on pages, and links clicked
• Referring URL and search terms used to find the Platform

3. How we use your information

We use the information we collect to:

• Create and manage your account
• Display your listings and profile to other users
• Facilitate messaging between users
• Send transactional emails (account verification, password reset, important notices)
• Improve and personalise your experience on the Platform
• Monitor for fraud, abuse, and violations of our Terms of Service — this may include automated and manual review of listings and messages to protect our users from scams
• Comply with our legal obligations under Australian law

We will not use your personal information for direct marketing without your consent.

4. Analytics and advertising

We use Google Analytics to understand how visitors use the Platform. Google Analytics collects information such as how often you visit, which pages you view, and what site you came from. Google Analytics uses cookies and may collect your IP address. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on. Google's privacy policy is available at policies.google.com/privacy.

We use PostHog for product analytics, which helps us understand how signed-in users experience the Platform so we can improve it. When you are logged in, PostHog associates your activity (pages viewed, buttons clicked, features used) with your internal account identifier — never your name or email. PostHog may also record how you interact with pages (session replay) so we can find and fix confusing parts of the site. In these recordings, everything you type is masked, and private content such as chat messages and phone numbers is excluded entirely. PostHog's privacy policy is available at posthog.com/privacy.

We also use the Meta Pixel to measure the effectiveness of our advertising on Facebook and Instagram. Meta may use cookies and collect your IP address; see Meta's privacy policy for details and ad choices.

5. Cookies

We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how you use the Platform. These include:

• Session cookies — required for you to stay logged in
• Authentication cookies — used to securely maintain your session
• Analytics and advertising cookies — set by Google Analytics, PostHog, and the Meta Pixel (see Section 4)

You can disable cookies in your browser settings, but doing so may prevent some features of the Platform from working correctly.

6. Sharing your information

We do not sell your personal information. We may share your information with:

• Other users — your name, listing details, and profile information are visible to other users as part of the Platform's core function
• Service providers — we use trusted third parties to help operate the Platform, including Microsoft Azure (hosting and storage), Brevo (email delivery and marketing), Stripe (payment processing — we never see or store your full card details), Google (authentication, analytics and advertising), Meta (advertising measurement), and PostHog (product analytics). These providers are contractually bound to protect your information
• Law enforcement or regulators — if required by law or to protect the rights, property, or safety of Roomee or others

7. Data storage and security

Your account and platform data is stored on servers located in Australia via Microsoft Azure. Some of our service providers (including PostHog, Stripe, Google, Meta and Brevo) process limited data on servers located overseas, including in the United States and the European Union; we only share what each provider needs for its function. We implement industry-standard security measures including encryption in transit (HTTPS), encrypted authentication tokens, and access controls. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

8. Your rights

Under the Privacy Act 1988 (Cth) and the Australian Privacy Principles, you have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate or incomplete information
• Request deletion of your account and associated data
• Complain about how we handle your personal information

To exercise any of these rights, please contact us at support@roomee.com.au. We will respond within 30 days. You may also lodge a complaint with the Office of the Australian Information Commissioner (OAIC).

9. Retention

We retain your personal information for as long as your account is active or as needed to provide our services. When you delete your account, we will delete or anonymise your personal information within 30 days, except where we are required to retain it for legal or compliance purposes.

10. Children

The Platform is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from minors. If we become aware that a minor has provided us with personal information, we will delete it promptly.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on the Platform. Your continued use of the Platform after the effective date of any changes constitutes your acceptance of the updated policy.
